We are looking for an Office Services Co-ordinator to work in our Reception, as a team of two with the Senior Office Services Co-ordinator. You will be the first point of contact for our company. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Ultimately, duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

Your contribution to something big

  • Operation of Skype for Business telephony system – internal and external calls
  • Greet and register visitors to site
  • Photocopying and scanning documents
  • Provide travel desk service to the business, using Travel Agent or direct to book flights, hotel accommodation and hire cars
  • Completing visa applications for overseas visits to customers
  • Negotiate corporate rates with local hotels and hire car companies
  • Receive and sort incoming mail, weigh and frank outgoing mail to domestic and international destinations
  • Provide internal communication for visitors such as booking conference rooms, organising buffet lunches, preparing agendas, register visitors issuing Health & Safety forms and PPE equipment as required
  • Assemble technical manuals within specific deadlines for despatch with machines
  • Maintain stationery stock levels
  • Assist with recruitment, starter/leaver forms, new starter Inductions
  • Maintain Time & Attendance system and personnel system logging absences, new employee details and changes
  • Provide all areas of the business with administration support as and when required; Senior Management, Accounts, Purchasing, HR., Production, Engineering, Customer Service and Sales
  • Support the sustainment and improvement of housekeeping and health and safety practices
  • Support in the implementation and sustainment of 5S standards

  • Good standard of education – English and Maths

  • Proficient user of Microsoft Office applications
